International flair
Nearly 6,000 guests attended this large-scale staff party at the Waagnatie in Antwerp, coming from no fewer than nine countries. That meant the Save the Date was sent out in five languages. And that was only the beginning of a major logistical challenge back in mid-May: bus journeys, transfers, flights, and hotel stays—all streamlined through our applications and forms. Seven months later, on the day of the Boost Your Mood Party, everything finally fell into place. Basic-Fit employees celebrated a true fiesta with international flair!
Registration website
Together with Event Republic, we created a sleek, multilingual registration website packed with all the ins and outs of the event. Through an easy-to-use registration form, thousands of employees could quickly sign up and indicate their preferences for accommodation and transport. In the Benelux, there were nearly a hundred pickup points for bus transport to Antwerp. Guests from countries like France and Spain had flights booked, along with bus transfers between airports, hotels, and the event venue. And to boost the party vibes even more, guests could even submit their guilty pleasures during registration!

Smart integration
Through a smart API integration with Basic-Fit’s systems, all guest data was seamlessly synchronized with our registration platform. Within this setup, eligibility for hotel stays was automatically determined based on location, ensuring that guests only saw the relevant form fields. This kept the registration process clear and low-threshold. And when an additional form was needed to collect extra information from guests in La France, that was — of course — pas de problème.
