In January 2020, the festive 50th edition of the Vakantiebeurs (Holiday Fair) took place in Jaarbeurs Utrecht. For four days, 100,797 visitors were inspired in six halls for their next vacation. For most of them, the trip to Utrecht started with ordering their tickets through our system. We were also responsible for checking in on location.

Fair, congress and business day

It is one of the best known public fairs in our country, and for us one of the biggest we have done so far. More than a hundred thousand visitors, that is of course a lot, but the registration went smoothly, and also on location our 22 scanning stations ensured a smooth flow, even at peak times. In addition to the ticketing and access control of the four public days, we also took care of the online and on-site registration for the business day and for the Travel Congress 2020 during the days prior to the Holiday Fair. Visitors to this conference could make a choice from the various sessions offered through our system and thus compile their day program.

For the organization we configured a custom-made dashboard, with the e-tickets we generated personalized discount vouchers, and we made the distribution of tickets through other channels and by other providers possible. In addition, we realized a solution for offering tickets for different time slots. So not only because of the amount of visitors, but also because of the qualitative challenges, this is a project to be proud of.

Our lightning-fast scanning software at no fewer than 22 scanning stations ensured even at peak times that no queues were formed and that all visitors could quickly come in to gain holiday inspiration.

Ticketing

Day or half-day tickets

For visitors who did not have to spend the entire day at the Vakantiebeurs, attractive half-day tickets were available. Our systems ensured that these tickets only allowed access to the exhibition at the permitted hours. We made sure that other parties could offer tickets online as well.

Personalized discount vouchers

Partners of the exhibition who wanted to offer visitors vouchers could do so through our system. We personalized the e-vouchers and sent them by e-mail with the e-tickets.

Congress registration

Personal program for conference visitors

The Travel Congress 2020 took place prior to the Holiday Fair. We also provided online and on-site registration for this event. From the many available knowledge sessions, visitors could easily compile their personal program through our systems.

All important statistics in one screen

For Jaarbeurs Utrecht, the organizer of the Vakantiebeurs, we put together a comprehensive dashboard based on a detailed wish list. All important figures and KPI's were available.
